If you will have new visiting scholars working in your space, the Visiting Scholar Tracking process will need to be completed. This process will be completed within REDCap and is now required for all visiting scholars (foreign or domestic) who are not considered staff hired through Duke HR or a student of the University.
- The Visiting Scholar form will be initiated in REDCap within the business office of your unit (Department, Center, Institute, etc.). This must be completed before the visiting scholar arrives, preferably once the determination to invite a visiting scholar to campus is made. Please send information about the visiting scholar to the Visiting Scholar designee of your unit. If you are unsure of who this is, please contact your Business Manager or dosi@duke.edu.
- After the business office completes basic information about the visiting scholar, the form will route to the visiting scholar and will ask them to provide information about their funding, their resume/CV, work they will be doing at Duke, and they will be required to sign a Visiting Scholar agreement.
- The form will then route to the faculty sponsor for review/correction of the information provided to ensure that both the visitor and the faculty member are in agreement with the arrangement. The faculty sponsor will then send the form to the business office for final sign-off.
- As a reminder, if you have a visiting scholar who receives external support (i.e., funding from their home country or other scholarship program), this in-kind support should be listed on your Other Support document at the time of proposal/JIT. If a visiting scholar begins work after an award is made, the visiting scholar should be included in your Other Support submitted with your progress report and also listed as a participant in the research if they will be working on a sponsored project. For NSF-funded investigators, the addition of a visiting scholar should be disclosed via NSF's webform for "Post-award Disclosures of Project Support Information."
